Choose your learning style9 modes available
Introduction
Sorting data in ascending or descending order helps you see your data from smallest to largest or largest to smallest. This makes it easier to find top or bottom values quickly in your Tableau visualizations.
When you want to see sales figures from lowest to highest to identify underperforming products
When you need to list customers by highest purchase amount to find your best clients
When you want to organize dates from earliest to latest in a timeline chart
When you want to rank regions by descending profit to focus on top-performing areas
When you want to sort categories alphabetically to find a specific item quickly
Steps
Step 1: Open your Tableau worksheet
- Tableau workspace
Your current visualization is visible with data fields and marks
💡 Make sure your data is loaded and visible in the view
Step 2: Locate the field you want to sort in the Columns or Rows shelf
- Columns or Rows shelf
The field is highlighted and ready for sorting
💡 You can also sort directly from the axis or header in the view
Step 3: Click the sort icon (up or down arrow) next to the field name on the shelf or axis
- Field header on Columns/Rows shelf or axis label in the view
Data is sorted in ascending order if you clicked the up arrow, or descending if you clicked the down arrow
💡 Clicking the icon again toggles between ascending and descending
Step 4: Alternatively, right-click the field in the view and select 'Sort...'
- Field in the view
Sort dialog box opens with sorting options
💡 Use this to customize sorting by field, manual order, or nested sorting
Step 5: Choose 'Ascending' or 'Descending' in the Sort dialog and click OK
- Sort dialog box
The visualization updates to reflect the chosen sort order
💡 You can also sort by a specific measure or field here

Common Mistakes
Clicking the sort icon on the wrong field
Sorting the wrong field changes the order unexpectedly and confuses the visualization
Always confirm you are sorting the correct field on the Columns or Rows shelf or axis
Using manual sort without understanding the order
Manual sort can override automatic sorting and cause unexpected order
Use manual sort only when you want a custom order; otherwise, use ascending or descending
