Power BI workflow (get data, transform, visualize, share) - Step-by-Step Guide

Introduction
This workflow shows how to bring data into Power BI, clean or change it, create charts and reports, and then share your work with others. It helps you turn raw data into useful insights that anyone can see and understand.
When you have sales data in Excel and want to create a report with charts.
When you need to clean up messy data before making a dashboard.
When you want to combine data from different sources like databases and files.
When you want to share your report with your team or managers online.
When you want to update your report regularly with new data.
Steps
Step 1: Click
- Home tab > Get Data button
A menu appears showing different data source options like Excel, SQL Server, and Web
💡 Choose the data source where your data is stored
Step 2: Select
- Data source (e.g., Excel workbook) and click Connect
A navigator window opens showing tables or sheets available in the data source
Step 3: Check
- Tables or sheets you want to load
Selected data previews appear on screen
💡 You can load data directly or click Transform Data to clean it first
Step 4: Click
- Transform Data button
Power Query Editor opens where you can clean and shape your data
Step 5: Use
- Power Query Editor tools like Remove Columns, Filter Rows, and Change Data Types
Data updates in the preview to reflect your changes
Step 6: Click
- Close & Apply button in Power Query Editor
Cleaned data loads into Power BI model and Power Query Editor closes
Step 7: Drag and drop
- Fields pane onto the Report canvas
Visual charts like bar, line, or pie charts appear on the report
Step 8: Use
- Visualizations pane to change chart types and format visuals
Charts update style and layout as you customize
Step 9: Click
- File menu > Publish > Publish to Power BI Service
Report uploads to your Power BI online workspace
Step 10: Go to
- Power BI Service website and open your report
You can view, share, and set refresh schedules for your report
